Peacehaven Advisory Group is a comprehensive financial planning firm in downtown Grand Rapids. We are building our team with a Financial Services Operations Manager. This position requires organization, strong written and verbal communication skills, event planning experience, attention to detail and ability to maintain standard operating procedures in a compliant manner. 

Responsibilities of this role include:

Marketing
•    Plan, schedule, coordinate, and implement client events and document on firm calendar. Align with company's growth plan by inviting prospects to attend events.
•    Manage the communication of event status with Financial Advisor in a timely manner.
•    Update social media and website as needed.


Client Service
•    Serve as a main point of contact for clients and guests; prioritize emails and phone calls and respond as required.
•    Maintain annual client review calendar and schedule reviews 3 months in advance 
•    Process client requests; example to include ACH deposit/withdrawal, Required Minimum Distribution, Qualified Charitable Distribution, ROTH IRA conversion.
•    Open/close and update if needed client accounts; create and maintain household groups 
•    Process account transfers
•    Manage and update notifications; assign to advisor if needed
•    Prepare a Periodic Distribution list and communicate with advisor on a regular basis
•    Maintain report indicating client "tiers" using CRM


Operational Efficiency
•    Support an operationally efficient office while implementing and maintaining standard operating procedures.  
•    Communicate with team members in the firm through check in meetings/as needed
•    Perform other duties as needed or assigned.
•    Review, document, and update administrative processes in the SOP manual.
•    Scan financial documents according to company procedures. 
•    Adhere to industry compliance standards
