This position is responsible for supporting front desk operations at the Innovation Design Center (IDC), overseeing student workers, and providing administrative assistance to the IDC Operations Manager. This position will also support the undergraduate assessment and accreditation work within the School of Engineering, Padnos College of Engineering (PCE). Assessment support will include data and report management from courses, students, faculty/staff, alumni, employers, and industrial partners for use in program improvement. Support for meetings and management of faculty, staff, and administrative information will also be included in this role. Accreditation support will include documentation and logistical assistance for the onsite/remote visit by the external accreditation team. This position will also provide support for the School of Engineering Graduate program, the Padnos College of Engineering outreach activities, and the School of Engineering Cooperative Education program. (Full-time, 30 hours/wk)
Essential Functions:
• Organize and maintain of all assessment and accreditation documents and develop support documentation (reports, memorandums, minutes, visual display materials, internal/external correspondence). Attend School of Engineering assessment meetings and prepare minutes.
• Work independently and within a team environment to prioritize and manage the overall workflow.
• Possess strong self-initiative and self-motivation
• Maintain strong focus and self-regulation under pressure in a fast-paced, deadline-oriented environment.
• Utilize professional judgment and time and organizational management skills to prioritize and follow-through on responsibilities, often with continual interruption.
• Demonstrate excellent oral, written, and interpersonal communication skills.
• Extract and present detailed and complex data in different formats for different audiences.
• Demonstrate proficiency in word processing and spreadsheet applications, statistical/survey software, tracking and database software, and data collection, analysis, and interpretation tools.
• Maintain strong commitment to secure and confidential information.
• Manage multiple priorities in a complex, challenging environment, while overcoming a large assessment/accreditation learning curve and productively contributing to the overall team
• Organize program operations and informational repositories in an efficient and effective manner.
• Coordinate and schedule appointments, meetings, facilities, and events.
• Support PCEC Outreach Coordinator and Student Services PSS in all outreach activities at the IDC building, including prep work, staffing, and space reservations.
• Support the School of Engineering Graduate Program, including assisting with graduate program applications, student registration permits, master's thesis defense arrangements, MSE (Masters of Engineering) assessment and meeting minute preparation.
• Support the Innovation and Design Center daily front desk activities, including hiring, supervising, and training of all student employees and managing process and workflow.
• Support the IDC Operations Manager.
• Support the School of Engineering Co-op program, including student registration, report generation, constituent surveys, and end-of-semester assessment reporting.
Required Qualifications:
• High school graduate or equivalent.
• Minimum of two years relevant work experience.
• Experience with various computer software applications such as Microsoft Office and/or equivalent.
• Ability to operate office equipment.
• Data entry experience.
• Typing and spelling competency.
• Possess strong verbal and written communication skills.
• Ability to provide quality customer service.
• Ability to work under pressure and meet deadlines.
• Ability to maintain satisfactory work performance and attendance records.
• Ability to successfully maintain positive intercultural and interpersonal relationships.
Preferred Qualifications:
• A bachelor's degree, preferably in a STEM (Science, Engineering, Technology, or Mathematics) related field.
• Professional maturity, accountability, and project management skills to assist with assessment documentation/process development.
• Sincere interest and (or) experience in assessment/accreditation efforts.
Supervision Received: Receives supervision and work assignments from a designated supervisor, although other staff members in the unit may provide work direction.
Supervision Exercised: May be responsible for the coordination of work assignments for student employees.
Salary: C-2 Level. Minimum starting wage $18.36/hour
Job Type: Full-Time, 30 hours/wk (.75 FTE)
